This Privacy Policy describes how POMC Technologies, LLC ("we," "us," or "our") collects, uses, and handles information when you use Documentation CMS (the "Service"). We respect your privacy and are committed to being transparent about our data practices.
By using the Service, you agree to the collection and use of information as described in this policy.
1. Information We Collect
Account information. When you register, we collect your email address (which serves as your username) and display name. Your password is stored as a cryptographic hash — we never store it in readable form.
Content you create. The Service stores the documentation content, images, and other files you create or upload. You retain all rights to this content (see Section 5).
Usage data. We collect information about how you use the Service — such as which features you use, pages you visit, and actions you take — to improve the product and understand usage patterns.
Technical data. We collect standard server log data including IP addresses, browser type, operating system, and timestamps. This data is used for security monitoring and operational purposes.
Cookies and similar technologies. We use cookies to maintain your login session and remember your preferences. When analytics tools are active, additional cookies may be set (see Section 4). A cookie consent banner will allow you to manage your preferences.
2. How We Use Your Information
- To provide, operate, and maintain the Service
- To send transactional emails such as email verification, password resets, and trial expiration notices (via MailerSend)
- To respond to support requests
- To analyze usage patterns for product development and marketing purposes
- To detect, investigate, and prevent security incidents and abuse
- To comply with legal obligations
We do not use your content to train artificial intelligence or machine learning models.
Aggregated and de-identified data. We may use anonymized, aggregated data that cannot reasonably identify any individual or organization for benchmarking, product analytics, and publishing general usage statistics (e.g., "thousands of documentation pages created"). This data is not linked back to your account.
Support access. Our support team may access Your Content only when necessary to investigate and resolve a support issue, and only at your request or with your knowledge. We do not perform routine review of customer content.
3. How We Share Your Information
We do not sell your personal information. We share information only with the third-party service providers listed below, and only to the extent necessary to operate the Service.
- MailerSend — transactional email delivery (email address)
- Railway — application hosting and managed database infrastructure
- Payment processor (TBD) — billing and subscription management. We do not handle or store payment card numbers directly; all payment data is handled by the processor under their PCI-compliant systems.
- Analytics provider (e.g., Google Analytics, if enabled) — aggregated usage analytics. Subject to your cookie consent choices.
Law enforcement and legal process. We may disclose information in response to lawful requests from government authorities or courts. Where legally permitted, we will notify you before disclosing your information. We do not voluntarily provide governments with access to customer data for surveillance purposes.
We may also disclose information to protect the rights, property, or safety of POMC Technologies, LLC, our users, or the public.
4. Cookies
We use the following categories of cookies:
- Strictly necessary — session authentication cookies required for the Service to function. These cannot be disabled.
- Functional — cookies that remember your preferences (e.g., dismissed notices).
- Analytics — cookies that help us understand how the Service is used. These are only set with your consent via the cookie banner.
You can manage cookie preferences through the consent banner shown on your first visit. Withdrawing consent for analytics cookies does not affect your ability to use the Service.
5. Your Content
You retain full copyright and ownership of all content you create or upload to the Service. We do not claim any ownership rights over your content. We access your content only as necessary to provide the Service (e.g., rendering pages, delivering files) or to respond to a support request at your direction.
By uploading content, you grant POMC Technologies, LLC a limited, non-exclusive license to host, store, and transmit that content solely for the purpose of operating the Service.
6. Data Retention
We retain your account and content data for as long as your account is active. If you cancel your subscription or close your account:
- Your data is retained for 30 days, during which you may reactivate your account.
- After 30 days, your content and account data are permanently deleted.
- You may request immediate deletion at any time by contacting us (see Section 10).
Server logs and aggregated analytics data may be retained for longer periods for security and operational purposes.
7. Data Security
We implement industry-standard security measures including encrypted connections (HTTPS), hashed passwords, and role-based access controls. However, no system is perfectly secure. We cannot guarantee absolute security of information transmitted over the internet.
Data breach notification. In the event of a security breach that affects your personal data, we will notify affected users without undue delay and, where required by law, within 72 hours of becoming aware of the breach.
8. Your Rights
You have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — update inaccurate information (via your account settings)
- Deletion — request deletion of your account and associated data
- Export — export your content (feature in development; contact us in the meantime)
- Objection — opt out of analytics data collection via cookie preferences

9. Children's Privacy
The Service is intended for users who are at least 18 years old. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
10. International Users
The Service is operated from the United States. If you access the Service from outside the United States, your information may be transferred to and processed in the United States.
EU/EEA users. For users in the European Union or European Economic Area, we rely on Standard Contractual Clauses (SCCs) as the legal mechanism for transferring personal data to the United States. A Data Processing Agreement (DPA) is available upon request — contact support@doc-cms.com.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Your continued use of the Service after any change constitutes your acceptance of the updated policy.
